AI Tools for Realtors in Canada (2026): Listings, Follow-ups and Client Privacy

Prices checked 20 Oct 2026 on each vendor's own pricing page. Prices exclude HST. Figures are as of Oct 2026.

Updated 20 Oct 2026.

A listing description, a follow-up after a showing, and notes from a call are three places a realtor loses evenings. AI is useful there. It is a poor place to keep a client’s financial details, and a poor way to invent a kitchen the house does not have.

This page is a general list for agents in Canada. It is not your brokerage’s stack, and it is not legal advice. Dollar amounts are the ones I could read on the vendor’s own page on 20 Oct 2026. If the page did not show a price, the line says so. A brokerage order matches the business sample. A solo agent sorting subscriptions matches the personal sample. Both links are at the bottom.

Where AI saves time

  1. Listing copy that sounds like you, and that stays inside the facts.
  2. Follow-ups after showings, open houses, and calls.
  3. Notes you can find the next morning.
  4. A short clip from photos you already took.

Read the privacy section before you paste anything. A normal week can use one assistant, one notes tool for calls you are allowed to record, and the calendar you already have.

One assistant for the writing

For writing-heavy work I start people on one assistant, not three. Claude and ChatGPT are the two names agents compare. Gemini belongs in the conversation when your files already live in Google Docs, Gmail, and Drive.

Claude’s pricing page lists Pro at $20 a month, or $17 a month when $200 is billed up front for the year. Prices on that page exclude tax and are not marked as Canadian dollars. Enterprise on the same page is marked US$20 per seat a month, billed annually, plus usage. If Pro bills in US dollars, the Bank of Canada rate of 1.4097 on 19 Oct 2026 puts US$20 at about C$28.19 and US$17 at about C$23.96, before tax and before a card fee. The Bank calls that rate indicative. Claude’s free plan includes Claude Slides, which is enough to try a one-page sheet for a listing before you pay.

ChatGPT’s pricing page lists Free, Go, Plus, Pro, Business (from 2 users), and Enterprise. On 20 Oct 2026 it described the plans and did not show dollar amounts. I am not printing a ChatGPT price. See chatgpt.com/pricing. Go may include ads. Plus includes projects, scheduled tasks, and custom GPTs. Pro is the plan whose card lists Dot, the always-on agent. Business is for businesses and starts at 2 users.

Google AI Plus is C$6.99 a month in Canada, with 400 GB. Google AI Pro is C$26.99 a month, with 5 TB, and it includes Gemini in Gmail, Docs, and Sheets. If Ontario HST of 13% is added, Plus is about C$7.90 and Pro is about C$30.50. The 13% figure is the CRA’s Ontario example. Other provinces differ. This is not tax advice.

The full side-by-side, including what I had to leave off, is ChatGPT vs Claude vs Gemini. If your drafting already happens in Word and Outlook, read Copilot and Microsoft 365 before you add another subscription.

Use facts you supply: beds, baths, the real renovation year. Ask it to flag anything it added, then delete those lines. A listing that invents a finished basement is your problem.

Meeting notes and follow-ups

Fathom’s pricing page lists a free plan with unlimited recordings and instant AI call summaries. An individual paid plan is shown as $16 and $20. Team is shown as $15 a month per user when billed annually and $19 a month, with a 2-user minimum. The page does not label the currency, so I am not converting those amounts. See fathom.ai/pricing and read the billing toggle before you pay.

A free notes tool is enough for many solo agents. Tell people the call is being recorded. Do not put a client’s full financial file into a consumer notes tool.

Inbox drafts that wait for you

Lindy’s Team plan is US$49.99 per active user a month, about C$70.47 at the same Bank of Canada rate, before tax and before a card fee. Lindy says a draft that would send an email or post something waits for your approval. Lindy also says it does not train on your data. That is Lindy’s own claim, not an audit I have done. The wider list is in AI agents for small business.

HubSpot’s free CRM is listed with up to 2 users and up to 1,000 contacts, with no expiry and no card required, and a free assistant called Breeze. Starter “starts at $15 a month per seat,” and HubSpot says that figure is a new-customer discount that can end. The page does not clearly label that $15 as Canadian dollars, so confirm currency at signup. A spreadsheet is still fine for a handful of active clients.

Short listing videos

Short means 8 to 15 seconds from a real photo. It is not a generated house.

Runway lists Standard at $15 a month, or $12 a month when billed annually (625 credits on the monthly description I read). Pro is $35, or $28 annually. Max is $95, or $76 annually. The free plan includes a one-time 125 credits. The page does not label the currency, so I am not printing a Canadian estimate. See runway.com/pricing. A retry spends credits again.

If you already pay for Google AI Pro, the Canadian plan page includes video generation (Omni Flash on every tier) and Google Flow. Try that before you add Runway. Use photos from the property. Skip a pure-AI exterior as the hero image.

Documents and e-sign

AI can draft a routine email, a buyer instruction sheet, or a first pass at a proposal. A lawyer reviews anything that binds someone. I am not a lawyer, and this page is not legal advice.

PandaDoc’s pricing page lists a free plan with 5 documents a month, and a Business plan at US$49 per seat a month. The Starter price did not appear as a dollar amount when I read the page, so see pandadoc.com/pricing before you budget a middle tier. For many agents, a draft in your assistant plus your brokerage’s own forms is the whole stack. Do not rebuild your board’s forms inside a new tool.

Calendly lists Standard at US$10 per seat a month when billed yearly, and US$12 per seat a month when billed monthly. Teams is US$16 yearly or US$20 monthly, per seat. Those figures are in the page’s USD price data. At the Bank of Canada rate of 1.4097, US$10 is about C$14.10 before tax and before a card fee. Cal.com lists a free individual plan with unlimited event types, and a Teams plan at $12 per user a month on the yearly price. Cal.com’s page does not label that $12 as US dollars in the text I read. If your brokerage already has a booking link, use that. A second calendar is how a showing gets double-booked.

Picks by budget

Under C$30. One free assistant, or Google AI Plus at C$6.99, or Claude Pro if checkout bills near the estimate above. Fathom’s free plan. HubSpot’s free CRM if the contact list has outgrown a sheet. Google Business Profile, which is free to create.

C$30 to C$100. One standard assistant (Google AI Pro at C$26.99, or Claude Pro) plus a notes plan or a scheduling plan, not both on day one. PandaDoc’s free plan until you outgrow 5 documents a month.

C$100 and up. A team plan once more than one person is pasting client material into a consumer chat, or a video plan once short clips are part of every listing. ChatGPT Business exists and starts at 2 users. I do not have a verified dollar amount for it. Claude Team standard is listed at $25 per seat a month, or $20 per seat a month billed annually, on claude.com/pricing. Team premium is $125 or $100 on the same pattern. Those amounts are not marked CAD. Training on Claude Team is none by default, which is the reason a team plan exists in this conversation.

Client privacy

Paste the listing facts. Do not paste the client’s full application, mortgage numbers, or ID. An inbox agent can read the whole mailbox, including client files that do not belong in a chat tool. Leave those threads out of it.

On Claude, Free, Pro, and Max say opt-out for model training. Team says none by default. I could not confirm ChatGPT’s training default from the pricing page. Check the setting in the product you use.

Gemini Notebook (formerly NotebookLM) has a standard plan with up to 50 sources, and no separate dollar price. Higher limits come with Google AI Plus, Pro, and Ultra. The page says an individual’s data is not used for training unless they share feedback, and that an organisation’s data stays private to the organisation. Do not upload a confidential file on a free plan.

PIPEDA covers a lot of private-sector businesses in Canada. Brokerage policy can be stricter. If your board says a document stays in a named system, it stays there. This is a flag, not a legal opinion. If you record a call, say so.

What to skip

Skip three paid chat subscriptions. Skip generated photos of a property. Skip a document tool that duplicates your brokerage’s forms. Skip a client’s financial file in a consumer chat.

The paid report names your brokerage tools, the monthly total, the listing and follow-up wording, and the privacy settings for the plans you hold. Those steps are not on this page.
